Claude Cowork: a practical guide for businesses (2026)

Claude Cowork is the mode in which Claude doesn't just answer questions but does the work on your files: it reads a folder of invoices, builds a spreadsheet from them, writes the report and saves the finished file next to them. Since 16 September 2026 it is no longer a separate tab. Anthropic merged Cowork and chat into one Claude, so most guides online now describe an interface that is on its way out.
This guide reflects the state of things at the end of September 2026: what Claude Cowork is, what it costs, how to start and which tasks in a small company are worth handing over. At the end I describe the line our clients ask about most: when Cowork is enough, and when a company needs more.
What Claude Cowork is and what changed on 16 September
Anthropic puts it simply: in regular chat, Claude responds to your messages but can't access your files. In Cowork it has permission to read, edit and create files in folders you choose, "so it can actually complete tasks rather than just describe how to do them".
Under the hood it runs on the same engine as Claude Code, Anthropic's tool for developers. The difference is what it works on: documents, spreadsheets, your inbox and a browser instead of code. According to Anthropic, more than 90% of Cowork usage wasn't software development. It is an office tool, not an IT tool.
A short timeline, because it explains the conflicting information you'll find online:

After the last change you no longer switch into a Cowork mode. You open Claude, describe the task the way you'd brief a colleague, and Claude decides whether an answer is enough or whether it needs your files and tools. The change is rolling out gradually, Pro and Max first, so you may still see a separate button for a few weeks.
How much Claude Cowork costs
Cowork is not included in the free plan. Prices from Anthropic's pricing page on 24 September 2026, in US dollars, before tax:

Every plan has usage limits that reset in a rolling five-hour window, and paid plans add a weekly limit. Multi-step tasks use the limit faster than simple questions. For a business, one difference matters more than price: on Team and Enterprise your content isn't used to train models, while on Pro and Max you have to switch training off yourself in the privacy settings.
Getting started: one prompt instead of a step-by-step list
The official start from Claude Academy has three steps: install the Claude desktop app, type /setup-claude in a new conversation, then choose "Work in a folder" and pick a folder. Working on local files needs the desktop app; the browser alone won't do.
Instead of clicking through settings, give Claude the sources and ask it to propose a setup for your business. Paste this into your first conversation:

5. At the start of every task, repeat back how you understand it and ask questions.
Keep it short.
The last point is Anthropic's own advice from its best-practices guide: before Claude starts, have it restate the task in its own words. It takes ten seconds and saves you redoing a whole report.
When to use Cowork and when plain chat
Anthropic draws the line in one sentence:
"Reach for Cowork when there's a clear deliverable and the work touches your files or tools." (Claude Academy)
Chat is for an answer or a thinking partner. Since the 16 September merge Claude recognises this itself, but it helps to know what to expect: a task that ends in a file takes longer, uses more of your limit and needs its output checked.
Six small-business tasks worth handing to Cowork
The first three come from Anthropic's official examples; the other three are the uses we see most often with our clients.

The last two work on exports. Cowork has no ready-made connection to most mid-market ERP systems. Someone has to pull the file, drop it in the folder and keep it current. For a monthly report that's fine. For data you need several times a day it becomes the bottleneck. More on that below.

A personal AI OS: projects, instructions and recurring tasks
A single task is just the start. Cowork has three pieces you can combine into a personal AI operating system:
- Projects. Separate workspaces with their own files, instructions and memory, e.g. "Sales", "Finance", "Team".
- Instructions. Global ones for all your work and per-folder ones. This is where you write down what you explain every time today: date format, email tone, who approves spending.
- Recurring tasks. Hourly, daily, weekly or on weekdays. They run in the cloud even when your computer is closed, unless they need files from your drive.
Add plugins (bundles of skills and connections for sales, finance or customer support) and connectors to tools such as Google Drive, Microsoft 365 or Slack. I showed how skills work in practice with Claude Code skills; the mechanism in Cowork is the same.
A well set-up Cowork is an AI OS for one person: the owner, a salesperson, someone in accounts. Which brings us to the line.
Safety and data protection: what not to give Claude
Anthropic describes the risks openly in a dedicated safety article. The rules that matter for a business:
- Use a dedicated folder. Anthropic explicitly recommends not granting access to the whole drive.
- Be careful with financial documents and personal data. The same article names financial documents as an example of files to keep out. If you must, use manual approval for every action.
- Cloud means processing at Anthropic. In a cloud session, files Claude opens are processed on Anthropic's servers. For customer data that's a GDPR question. If data can't leave the company, read about local AI without the cloud.
- Prompt injection. A web page or document can hide instructions for the AI. Anthropic admits its protections "meaningfully reduce the risk but can't eliminate it". Don't give Claude a browser logged into your bank.
- Model training. On Pro and Max switch it off in privacy settings. On Team and Enterprise it's off by default.
- Responsibility. Cowork always asks before permanently deleting a file, but you remain responsible for everything it does on your behalf.

Where Cowork ends and a company AI OS begins
Cowork serves one person and their files very well. A company, though, is several people working on the same data at the same time. Here is an example from one of our projects: a trading company selling truck parts, a small team, an ERP at the centre.
Orders came in by phone and WhatsApp, ended up in Excel, and someone retyped them into the ERP. Cowork could help one person here, say, by building a report from yesterday's export. It wouldn't fix the real problem, because:
- the data has to be live. Whether a part is in stock matters now, not as of this morning's export. For this client the assistant sees live ERP data, read-only to start with;
- the team needs shared state. An order moves through 11 stages, from pro-forma to deposit return, and everyone sees the same stage on one board. Cowork has no live shared sessions;
- deadlines have to chase themselves. A reminder about an unpaid pro-forma has to go out on day three whether or not anyone's computer is on. That's a job for automation that behaves the same way every time, not for a model that reinterprets the task every run;
- permissions differ. The warehouse doesn't need margins; sales doesn't need HR files.

This isn't an argument against Cowork. With many clients we recommend both: the company AI OS holds shared data and processes, and Cowork stays the personal tool for the owner and sales team for proposals, analysis and documents.
FAQ
Is Claude Cowork free? No. It requires Pro, Max, Team or Enterprise. The free plan is chat only.
Does it work on Windows? Yes, on macOS and Windows since April 2026. On Windows, local tasks run in an isolated virtual machine (Hyper-V), so if it won't start, check that virtualisation is enabled.
How is it different from Claude Code? Same engine. Claude Code is for programming; Cowork is for office work on files, documents and tools.
Can I connect Cowork to my ERP? There's no ready-made connector for most ERP systems. You can work on exports or have a custom connection built, which is what we do in implementations.
Does Claude see my browser passwords? The built-in browser is separate from yours and, according to Anthropic, doesn't see your tabs, bookmarks or passwords unless you import cookies yourself.
Where to start in your company
Start with one task you know by heart and do every week, such as a report or an invoice summary. Set up a dedicated folder, use manual approval and check the output three times before you trust it. If after a month the biggest problem turns out not to be individual documents but data scattered across your ERP, Excel and messaging apps, that's the sign your company needs more than Claude Cowork.
